The asset register

Recording devices and systems, importing from a spreadsheet, linking assets to cases and what requesters see.

For Agents and Admins · Updated

The asset register supports Previous and Next pages of 200 matching records. Changing a filter returns to page one; Export CSV includes all matching records, across pages.

Assets lists the devices, systems and software your desk supports, who has them and the cases they were part of.

What an asset records

  • A tag (assigned automatically, like AST-000001, or your own), a name and a type: laptop, desktop, monitor, mobile, tablet, server, virtual machine, network, printer, peripheral, software or other
  • Status: in stock, in use, in repair, retired, disposed or lost
  • Who it is assigned to, location, manufacturer, model, serial number, hostname
  • Purchase date and cost, warranty end date, and the service it belongs to
  • Its history: every change and every case it was linked to

The tiles at the top count active assets by status, those with a warranty ending within 30 days or already out of warranty, and those with open cases.

Importing and exporting

  1. Choose Import CSV and download the template, or use your own columns: they are matched to the fields by name.
  2. Upload the file. A preview shows what will be created or updated and any rows with problems, in plain words, before anything is saved.
  3. Confirm. Existing assets are matched by tag and updated.

Export CSV downloads the register. Cells that a spreadsheet would treat as a formula are made safe.

Assets and cases

  • Staff link assets to a case under Related. The asset's page then lists the case.
  • Requesters can pick their own device when they submit a request. They only ever see devices assigned to them or that they picked; servers and equipment staff link for an investigation stay internal.
  • An asset that has case history cannot be deleted; mark it retired instead.
